User Manual for Parents online Parent Teacher Meeting

This year we are holding all Parent Teacher meetings online due to the continued high incidence level of COVID-19 in our communities. Meetings will be facilitated through Zoom.

3rd Year Portal will be live from Thursday 20th January to Monday 24th January

*** URGENT: YOU NEED TO COMPLETE STEP 3 (PTM registration portal), PRIOR TO THE 24th JANUARY, 2022. Otherwise, you will not be able to access the PTM on 27th January, 2022. *The portal will open to Parents/guardians on Thursday, 20th January at 9am and will close on Monday, 24th January at 5pm. This is the only window of opportunity to book a meeting with a teacher so it is imperative that you log on and book early in case you encounter technical difficulties.

The following is a brief overview of how the process will work.

In advance of the Meeting

STEP 1. – Download Zoom

It is advisable to download the Zoom Client on your desktop, laptop or PC. We would recommend that you use a tablet or PC to attend the meeting. Download the Zoom Client or Zoom App here

STEP 2. – Locate your child’s VSware ID

JOURNAL: You can find your son/daughters' VSware ID in the inside cover of your son/daughters journal


VSware PARENT APP: Alternatively you can find son/daughters' VSware ID via the VSware Parent App

  • Log into your VSware account (if you are unsure how to do this you can click here for further information)
  • Select your child's name
  • In your child's profile, select 'Personal Info'
  • Select School
  • Scroll down to VSware ID

STEP 3. Log in to the PTM Organiser, from Thursday, 20th January and before Monday 24th January, 2022 5pm ***

  • Click here to log in to the PTM scheduler (by the 24th January 5pm).
  • Once you click this link the window below will appear. The school roll number has already be filled (this is 91448K). Enter your child’s VSware ID in the 'Student ID' box (see step 2 above).If you are having any difficulties accessing your VSware ID email administrator@kilrushcoms.comPTM portal login.png
  • From here you can make appointments with your child's teacher in order of preference. e.g. Enter 1 beside the teacher you feel it is most important to see, 2 for your second preference and so on. Please note the following:
    • An entry of 0 means that you do not wish to meet with that subject teacher.
    • An entry of 1 means that this is your first preference.
    • Teachers will have a maximum number of Parents/Guardians that they can meet. Therefore it is important that you select your appointments in order of preference.
    • At the bottom of the screen there are two buttons for you to indicate whether you:
      • will not be attending the meeting
      • Will be attending the meeting and want your preferences saved

  • Once you have selected one of the above the system will return you to the parent login screen and a notice to confirm your options will be displayed.

****IMPORTANT - This must be done by Monday 24th January 5pm. The school will use this information to schedule the meetings for the whole year group. Once the school has scheduled the meetings it will not be possible to join the PTM afterwards.****

The day before the Meeting

STEP 4. - Accessing Parent/ Guardian Rota

  • Log back into the PTM scheduler.
  • Check your schedule to see the times and names of the teachers you're meeting.
  • It is advised that you print this page or take a screenshot of it. You should do this the day before the Parent Teacher meeting.

The day of the meeting

  • Please note that each meeting is strictly limited to 5 minutes duration. This is to ensure that as many Parents/Guardians as possible have an opportunity to meet with teachers
  • Please also note that if you are late to your meeting then it will not be possible to meet with you.
  • Please only join each meeting at your allocated times as per the rota to ensure the smooth running of the rota for others.

Parent Teacher Meeting Protocols

  1. Kilrush Community School are committed to working together in maintaining a workplace environment that encourages and supports the right to dignity at work. As stated in our school’s Acceptable User Policy, any user of our school’s platform must not intentionally cause offence to another person and must demonstrate respectful etiquette at all times.
  2. Parents/Guardians are invited to attend Parent/Teacher meetings and are advised that due to the number of students in the year group and limitations of time on the day, each meeting with a teacher should take no longer than 5 minutes.
  3. We ask Parents/Guardian to choose a quiet neutral venue where they will not be disturbed for the duration of the meeting.
  4. To help teachers identify you in the waiting room, ensure you are logged on with a recognisable name. After joining the meeting you can simply click on more and 'rename' see image below.Screenshot 2022-01-08 at 15.55.27.png
  5. Please turn on your camera and microphone when you join the meeting.
  6. All persons attending the meeting should be identified at the start of the meeting and be visible to the camera.
  7. Parents are reminded that they are not permitted to record or take photographs of the meeting. However please do feel free to take notes.
  8. Meetings will generally be structured to provide feedback on the areas of student engagement, student progress and areas for improvement.
  9. Thank you for your cooperation on what is a new style of parent teacher meeting being undertaken by the school due to the high incidence of COVID 19 in our community.
